Confirm, complete, no-show, or cancel
Update an appointment's status from the agenda — completing or no-showing also nudges the linked lead.
Every appointment on your agenda has quick action buttons. Use them to keep the agenda honest and to move the linked lead along automatically.
Update an appointment's status
- Go to Appointments.
- Find the appointment's row in the agenda.
- In the Actions column on the right, click the button you need: Confirm, Completed, No-show, or Cancel.
- The status badge updates and you'll see an "Appointment updated." toast.
Which buttons show depends on the current status. A Scheduled row shows Confirm, Completed, No-show, and Cancel. A Confirmed row shows Completed, No-show, and Cancel (no Confirm — it's already confirmed).
What each action means
- Confirm — the customer confirmed they're coming. The badge turns to Confirmed.
- Completed — they showed up. The badge turns to Completed.
- No-show — they didn't show. The badge turns to No-show.
- Cancel — the appointment is off. The badge turns to Cancelled.
The lead nudge
If the appointment is linked to a lead, marking it Completed or No-show can move that lead's status for you — no extra clicks.
- Completed → the lead is marked Showed.
- No-show → the lead is sent back to Engaged (so you can follow up and re-book).
The lead nudge only fires when the lead is in the Appointment set status. If the lead is in any other status, the appointment still updates correctly — only the lead is left as-is. This is by design, so the appointment action never fails because of the lead.
Confirm and Cancel do not change the linked lead. Only Completed and No-show nudge it.
Final statuses
Once a row is Completed, No-show, or Cancelled, the action buttons disappear — those statuses are final. If you marked something by mistake, reschedule or create a new appointment instead.
FAQ
Why doesn't a Completed row have any buttons anymore?
Completed, No-show, and Cancelled are final statuses, so there are no further actions. There's no "undo" — book a new appointment if you need to track another visit.
I marked an appointment Completed but the lead didn't move to Showed.
The lead only advances when it's in the Appointment set status. If the lead was already further along (or back in another status), it stays where it is on purpose — the appointment update still went through.
Who can update appointment status?
Any signed-in member of your dealership can update an appointment's status — there's no extra role gate on this action. Every change is recorded in your audit log with the old and new status.
Does the customer get notified when I confirm or cancel?
No. These buttons update your internal agenda and the linked lead. The customer or lead on the appointment gets an automatic day-before reminder for the booked time, not a message for each status change.
