The AI BHPH collector

A skill for the dealer assistant that works your in-house loan book the way a good collector does, with the queue, promises, returned payments and payoffs, every touch by the rules and every change as a card you approve.

The BHPH collector is a skill the dealer assistant loads on every plan. It adds a way of working, not new buttons: ask "who do I call on the loans today", "Bob promised to pay Friday, log it", "his payment bounced, handle it" or "what does he owe to pay it off", and the assistant reads the queue or the loan, decides the next touch, and puts the cards in front of you.

What it reads first

The collections queue is a single read of every past-due loan, sorted by what needs a person first: the borrower and how to reach them, days past due and the amount, the balance and today's payoff, the last contact in either direction and whether they are waiting on a reply, the latest promise to pay and whether it was kept, the notices already sent, a returned (NSF) payment in the last month, and flags:

  • Returned payment in the last month, broken promise, waiting on a reply.
  • Never contacted or nobody has reached out in a week, notice sent this week, no contact details, defaulted.

It also says whether it is quiet hours right now. Before anything on one loan, the assistant reads that loan's full standing, the same figures the account page shows.

The playbook

The order of the day: returned payments first, the same day; then broken promises; then borrowers waiting on a reply; then the oldest past due nobody has reached out to in a week; then the rest. One touch per borrower per day, never more.

A touch is one of two things:

  1. A call by a person: a task for collections with the borrower's name, the amount and days past due, and what to ask for (a date and an amount). High priority for a returned payment or a broken promise.
  2. The dealership's own email: your past-due notices and payment reminders already go out on their own when those automations are on, and the assistant will not pile on inside a week of a notice. Beyond that, only a collections template you wrote (Settings → Message templates) as a card, never free text to a borrower unless you ask for a draft and read it.

Quiet hours. No message reaches a borrower before 8 AM or after 9 PM in your dealership's timezone. The rule lives in the send itself, not only in the assistant: a templated email to a customer with a live in-house loan is refused outside that window whoever proposes it. When it is quiet hours the assistant proposes the task and says the message waits for the morning.

Recording. A promise to pay is recorded as the borrower said it (the amount, the date they gave, how they said it), never invented. A broken promise gets one follow-up task, not a threat. A payment card is for money that actually arrived, with the method and reference. A payoff quote is the loan's payoff today and is good today only.

What it never does

  • Threaten or mention repossession, arrest, credit reporting, legal action or a lawyer in anything it drafts or says to a borrower.
  • Waive a fee, quote a settlement, or promise an extension, a deferral, a due-date change or a repossession hold. Those are your decisions on the account page.
  • Contact a borrower's employer, family or references, or discuss the account with anyone but the borrower or the co-borrower.
  • Invent a balance, a payoff, a fee or a date, or give legal advice.
  • Text a borrower.

When a borrower says they have an attorney, are in bankruptcy, dispute the debt, or ask you to stop contacting them, the assistant stops: no message, one task for you with what the borrower said, and a plain note on why nothing was sent. When they asked not to be emailed, it also prepares a card to turn on No account emails on their customer record, with their words as the note. Once you approve it, nothing is emailed to them from anywhere in the app, payment reminders included, until someone turns it off on their page.

With the returned-payment trigger

When the An in-house loan payment is returned (NSF) trigger is on (Settings → AI assistant, in the Autopilot card) and the collector is available, the background job loads the skill and runs its returned-payment step: the loan's standing, one same-day call task for collections, nothing sent to the borrower.

Who can do what

The skill adds no permissions. A team member who cannot record a loan payment in the app cannot record one through the assistant either, and every card follows the same approval rules as the rest of the assistant (see AI actions and approval).
