The dealership inbox
Email to your dealership's address lands on the right lead or customer by itself; mail from anyone else waits in the Inbox to add as a lead, link or reply.

Your dealership has its own email address, yourslug@mail.autodealer.io (your website's address name in front). Every email AutoDealer sends for you carries it as the reply address, so when a lead or a customer answers, the reply comes back here. Anyone can also write to it directly.
Where an email goes
- From a lead or a customer on file: it goes straight onto their timeline, and the assigned salesperson (or the owner, if nobody is assigned) gets a notification, "New email from" and the name. It never shows in the Inbox.
- A reply from a different mailbox: when the sender's address matches nobody, the email is matched by the thread it answers, so it still lands on the right record. The notification says it was sent from an address that is not the one on file.
- From anyone not on file: it waits in the Inbox, and the owner gets a notification that it matches no lead or customer.
A copy of every email is also forwarded to your published store email (or the owner's email).
Work the Inbox
The Inbox has three tabs, New, Archived and Linked, each with a count. Each row shows who it is From, the Subject, when it was Received, its Files and its Status; the search matches the sender and the subject. Open an email to act on it:
- Add the sender as a lead: check the first and last name (filled in from the sender's name) and click Add as lead. The lead's source is Email, it is routed like any new lead, and the email goes onto its timeline.
- Link to someone on file: search by name, email or record id and click Link to this person. The email is copied onto their timeline, and a lead's activity clock resets.
- Reply: write in Your reply and click Send reply. If the sender is not on file yet, they are added as a lead first, and your reply is threaded under their message.
- Archive, or Move back to new.
Emails are shown as plain text, never as web pages, so nothing in an email can run in your browser.
Attachments
PDFs and photos (PNG, JPEG, WebP, HEIC, TIFF) up to 25 MB each, ten per email, are filed on the person's documents: straight away for someone on file, or when you link the email or add the sender as a lead. The timeline says why any file was not filed (type not accepted, too large, over the limit of ten, could not be read). Small inline images such as signatures and logos are skipped.
The assistant and the Inbox
The assistant can search the Inbox and prepare a card to add a sender as a lead, link an email to someone, or archive it. Each card waits for a person to approve it, even on Autopilot. It does not reply to Inbox email: replying stays on the Inbox page.
FAQ
Who can see the Inbox?
Every role can open it, archive, link and reply. Adding a sender as a lead is for owners, admin managers and sales.
Why don't replies from my leads show in the Inbox?
Because they already landed on the lead. Only email from someone not on file waits in the Inbox.
Can I use my own email address instead?
Not as the dealership inbox. Each dealership has one address at mail.autodealer.io, and a copy of every email goes to your published store email.
