Proactive messages and digests
Your dealer assistant reaches out on its own — morning and weekly digests, stalled leads, aging inventory, overdue titles — with an unread badge on the AI button, and per-topic toggles.
Your dealer assistant doesn't only answer when you ask. It watches your dealership and reaches out on its own — a morning rundown, stalled leads, aging cars, overdue title work, and more. Each message lands right in your assistant chat, and you can reply to it like any other message.
Where proactive messages show up
Every proactive message is posted into your private dealer assistant chat (the same thread you type in).
- When the assistant reaches out, a small number badge appears on the AI button (the sparkle icon) in the top-right header. It shows the count, or 9+ once you pass nine.
- Click the AI button to open the assistant. The new messages carry a small From your assistant label.
- Opening the assistant clears the badge.
- Reply to any proactive message right there — it's a normal turn in your chat, so you can ask follow-up questions ("show me which leads").
Proactive messages are separate from the notification bell. The bell is a fixed, platform-curated list. Proactive messages are written by your assistant in plain language and live in your chat — and they're the part you control with the toggles below.
What the assistant can message you about
The assistant covers three kinds of proactive outreach:
- Digests — a daily morning rundown and a weekly recap (these come only as a chat message, never the bell).
- Scans — daily heads-ups when something crosses a line: aging inventory, overdue title work, uncontacted leads, stalled (going-cold) leads, stalled deals, and delinquent BHPH accounts.
- Relays — when a bell event happens (a lead or task assigned to you, a deal marked sold, a failed subscription payment, a platform announcement), the assistant also sends you a short, friendly version in chat.
Each topic has an on/off switch in settings, and each is tagged with how often it can fire — instant, daily, or weekly.
Choose what you hear about
- Go to Settings → AI assistant.
- Scroll to the Dealer AI — your private assistant section.
- Find the card What your assistant keeps you posted on.
- Switch any topic on or off. Each change saves on its own — there's no Save button.
The topics are grouped by area: Leads & CRM, Tasks, Inventory, Deals & Sales, Titles, BHPH & Collections, Compliance, Performance (the morning digest and weekly summary live here), Billing, and Account & platform.
Most topics are on by default. The one off-by-default topic is BHPH payment due soon — turn it on if you want a heads-up on upcoming in-house loan payments.
When digests arrive
- Morning digest — once per day, in your dealership's local morning (roughly 7–11 a.m.). It sums up sales this month, your pipeline, leads that need attention, and inventory status.
- Weekly performance summary — once a week, Monday morning, dealer-local. It recaps sales, gross, inventory aging, and follow-up that's slipping.
Timing follows your dealership timezone. If you haven't set one, the assistant assumes Eastern Time so the morning digest doesn't land in the middle of the night. Set it under Settings → Dealer info (the Timezone field) if your hours are off.
Who gets what
- Personal topics — things like "New lead assigned to you" and "Task assigned to you" go to the person they're about, regardless of role.
- Manager topics — lot-level, financial, and compliance signals (aging inventory, overdue titles, deals stalled in a stage, BHPH delinquency, the digests, billing) are limited to the Owner and managers. A salesperson won't see those toggles, and the assistant won't page them on those signals.
Today, the manager-level digests, scans, and announcement relays are delivered to the dealership owner. The owner is the one who'll see the morning rundown and the aging-inventory heads-up in their assistant chat. (Relays for a personally-assigned lead or task still go to the assignee.)
What the assistant will and won't do
- It writes every proactive message itself, in plain language — it's not a canned template.
- It only tells you about things; it never changes your data on its own. Any time the assistant wants to make a change (update a vehicle, a lead, a deal), it proposes the change and waits for you to approve it — by editing the proposal or replying yes. No "yes," no change.
- If your AI assistant is turned off, you're over your AI usage cap, or your subscription isn't active, proactive messages pause until that's resolved.
FAQ
How do I stop a specific kind of message?
Go to Settings → AI assistant → What your assistant keeps you posted on and switch that topic off. The change is saved immediately and the assistant stops sending that one. Everything else keeps coming.
I turned off a topic but still see it on the notification bell. Why?
The toggles only control the assistant's chat messages, not the bell. The bell is a separate, platform-curated list. Turning a topic off here stops the chat version, but the matching bell item (if any) can still appear.
Can I reply to a proactive message?
Yes. A proactive message is a normal turn in your assistant chat. Open the AI button and reply right under it — ask it to show the leads, the cars, or the deal it's flagging, and it'll pick up the thread.
Why didn't I get a morning digest today?
A few reasons: the Morning digest toggle is off; it isn't your dealership's local morning yet; your AI assistant is turned off or over its usage cap (or your subscription isn't active); or one already went out today (you get one per day). Check the toggle and your dealership timezone first.
Will my salespeople get the manager alerts?
No. Manager-level topics (aging inventory, overdue titles, stalled deals, BHPH delinquency, the digests, billing) are limited to the Owner and managers. Salespeople only get personal topics like a lead or task assigned to them.
Where do I find the unread proactive messages?
Look for the number badge on the AI (sparkle) button in the top-right header. Click it to open the assistant — the new ones carry a From your assistant label, and opening the chat clears the badge.
