Generate the closing paperwork
Generate the HTML closing packs from deal data, preview them, then batch-print or download the whole package.
Your closing forms fill themselves from the deal. Generate them on the Paperwork step, then check, print, and download the whole package on Review & print.
Generate a form pack
Forms live on the deal's Paperwork step, in the Forms card. A "pack" is a bundle of templates (the contract, buyer's order, disclosures, etc.) filled with this deal's data.
- Open the deal and go to the Paperwork step.
- In the Forms card, choose how to generate:
- Generate Retail Sale pack — one click for the standard retail closing bundle (shown only when your dealership has a pack named Retail Sale).
- Generate pack — opens a picker. Under From a saved pack, click a pack to generate it. Or under Or pick individual templates, check templates and click Generate selected (N).
- The pack generates and opens in the printable viewer titled Generated pack.
Each pack is a snapshot taken at generation time — it captures the deal's numbers as they are right now. Change a price or a buyer detail later and you must generate the pack again to refresh it. Earlier generations stay listed under Previously generated so you always have a record.
If the Forms card says "No templates yet," nobody has built form templates for your dealership. Create them under Forms first — there's nothing to generate until a template (and ideally a pack) exists.
Preview and print one pack
The generated-pack viewer shows every form in the pack, one per section, ready to print.
- Review each form on screen.
- Click Print / Save as PDF (top right). This opens your browser's print dialog.
- Print on paper, or choose Save as PDF as the destination to keep a digital copy.
Each form prints on its own page (automatic page breaks), so you get clean, separate documents.
If you see a yellow "Some variables couldn't be resolved" banner, a field was blank when you generated. The unfilled spots show as in the output, and the section's header gets a "N missing" badge. Fill in the missing customer, vehicle, or deal field, then generate the pack again — reprinting the old one won't fix it.
Print and download the whole package at once
The Review & print step (step 5) gathers everything the deal can produce into one checklist so you can print and download in a single pass.
In the Documents to print & download card you'll see three groups:
- Closing forms — your generated HTML packs (tagged generated) plus any saved packs that haven't been generated yet (tagged not generated, with a generates on print note).
- Official state forms — fillable official PDFs for the deal's issuing state. The ones that match this deal type are flagged deal type and pre-checked.
- Uploaded documents — scans you added (driver's license, insurance card, title).
- Check every document this deal needs. (Generated packs, ungenerated packs, and the deal-type state forms are pre-selected for you.)
- Click Print / download selected.
- AutoDealer.io generates any checked pack that wasn't generated yet, then opens the Closing package view with all your selected HTML forms back-to-back — one Ctrl/Cmd-P prints or saves them all together.
- For each official state PDF, click its Download button to get the filled PDF.
- For each uploaded scan, click Download to open the original file.
HTML closing forms print together as one package; official state PDFs and uploaded scans download as separate files. There is no single "download everything as one PDF" button — use your browser's Save as PDF on the closing-package view, and download the PDFs individually.
Finalize the package
When the package is assembled, click Finalize documents. This stamps the deal as finalized — a green Finalized badge appears, along with who finalized it and when, which marks the wizard's last step as done.
Finalizing is a bookkeeping stamp — it does not lock anything or change the sale status. If you add a form afterward, regenerate it and click Re-finalize to re-stamp. Finalizing is separate from Mark sold.
FAQ
Where do the form templates and packs come from?
A teammate builds them under Forms — each template is filled with deal variables, and a pack groups several templates. If your Forms card is empty, create the templates first. The closing paperwork is only as good as the templates behind it.
Why are there no official state forms on my deal?
Official PDFs require the deal's issuing state to be set (under Settings → Deal defaults) and an admin to have uploaded and mapped that state's forms under Admin → State docs. If neither is in place, the Official state forms group shows a setup hint. Mapped official forms are currently Florida-only.
Why does a form show instead of real values?
A field was empty when you generated the pack. Fill the missing customer/vehicle/deal field, then generate the pack again. Reprinting the existing snapshot keeps the old placeholders.
Can I send these forms for signature instead of printing?
Yes — generated packs feed the e-signature flow on the same Paperwork step. See the e-signature how-to. Printing and e-signing are independent; use whichever the buyer needs.
Do I have to regenerate after I change the price?
Yes. A generated pack is frozen at the moment you create it. Any change to the deal's money or party details requires a fresh generation to appear on the paperwork.
