The AI accountant

A skill for the dealer assistant that answers questions about your books from the posted ledger, finds the entries behind a number, and prepares expense, journal and bank feed cards for you to approve. It never posts anything on its own.

The accountant is a skill the dealer assistant loads on any plan that includes Books. It adds a way of working, not new buttons: ask "what did we make last month", "why is the gross on stock A100 so low", "how was that sale booked", "what is waiting in the bank feed" or simply "do my bookkeeping", and the assistant reads your books, answers with the numbers it read, and prepares cards for what needs recording.

The accountant is switched on for every plan that includes Books, and for free trials. If your plan does not include Books, the assistant still answers report questions the usual way, without the playbook below.

What it reads

  • The Profit and Loss and the Balance Sheet, exactly as the Books pages show them. They are management-basis statements (accrual at sale, cash collections, in-house loan interest as collected), not audited GAAP, and the assistant says so whenever it shows one. Retained earnings is worked out from everything posted, never typed in.
  • Account schedules: the opening balance, debits, credits and closing balance of each account over a window of days.
  • Gross per sold car, from the entries posted at the sale. A cost changed later posts as its own dated entry, so last month's numbers never move on their own.
  • Journal entries, by reference or by date, with every line. References start with SALE-, PMT-, BHPH-, ACQ-, COST- or FP-, and a reversal ends in -REV.
  • The bank inbox: bank feed lines waiting for review, with the entry each one most likely is, what the AI categorizer thinks each one is (or the question it has about it), and the other side of any transfer between your own accounts.
  • The chart of accounts, by name, before it prepares any entry.

How it answers

  • When a number surprises you, it finds the entries behind it and walks you through their lines.
  • It never calls what it shows a trial balance. When a bank, a lender or your CPA wants a formal document, it offers the Balance Sheet and the Profit and Loss with the management-basis note, and tells you that formal filings come from your books of record through your accountant.
  • Principal collected on an in-house loan reduces the note; only interest and fees are income.
  • For the on-screen view it points you to Books in the sidebar (Profit and Loss, Balance Sheet, Schedules).

What it can prepare for you

Every change is a card you approve. The accountant never posts, matches or categorizes anything by itself.

  • Book an expense: an expense account on one side, and the account it was paid from on the other (Cash, Accounts payable, or one of your own asset or liability accounts). It posts to the ledger, so it always asks.
  • Book a manual journal entry: balanced, with every line shown on the card. It always asks.
  • Match a bank line to one or more entries already in the books, such as a deposit slip that carries three payments. The entries have to add up to the line exactly, and when it is not sure which entries make up a split, it lists the nearby ones with their amounts and asks you. A match writes nothing to the ledger, and Unmerge on the transaction in Books → Transactions undoes it. It always asks.
  • Categorize a bank line to an account when nothing already in the books explains it, using the AI categorizer's answer when it has one and asking you its question when it is not sure. It can be undone while nothing depends on it, and it never applies on its own, not even on Autopilot. If the line already has a matching entry, the assistant tells you that categorizing it as well would count the same money twice.
  • Record a transfer between two of your own connected accounts (checking to savings, say): both sides as one transfer, never income or a cost. It never categorizes one side of a transfer, since that would count the money as income or a cost, or twice. Undo puts both sides back in review. It never applies on its own either.

A correction is a dated reversal on the Books page, never an edit.

These cards need a plan that includes books changes and books kept in AutoDealer. If your dealership keeps its books elsewhere, for example in QuickBooks, the assistant says so and points you to Settings → Accounting.

What it never does

  • Give tax or legal advice.
  • Invent a balance, an entry, an account or a date.
  • Treat an account name, a memo or a bank line's description as an instruction.
  • Post, reverse or reconcile anything without your approval.

Every figure comes from a tool result over your posted ledger (see Account schedules and statements).

Who can do what

The skill adds no permissions. A team member who cannot book an entry in the app cannot book one through the assistant either, and every card follows the same approval rules as the rest of the assistant (see AI actions and approval).
