The AI deal closer

A skill for the dealer assistant that walks every open deal to sold and every sold deal to paid, with the deals board, the checklist and the one next card, never a number it did not read.

The deal closer is a skill the dealer assistant loads on every plan. It adds a way of working, not new buttons: ask "which deals need me today", "what's stuck on the A100 deal", "get Jane's paperwork signed" or "she still owes, chase it", and the assistant reads the board or the deal, names what is blocking it, and puts the one next card in front of you.

What it reads first

The deals board is a single read of every deal that is not finished: the open deals (draft and pending, newest first) and the deals sold in the last sixty days that still owe money, each with the money (total, paid, balance due), the signing state (who has not signed a pending request), the title step after a sale, the checklist of what is still to do, the legal next steps, and flags for what needs a person:

  • Compliance blocked: an unresolved OFAC screening match. An owner or manager clears it on the deal page; nothing moves the deal forward until then.
  • Stalled: an open deal a week or older with nothing happening.
  • Balance due after the sale: a sold deal still owing money a week or more after the sale (in-house financed deals are not counted; the note carries their balance).
  • Awaiting signature, financing incomplete, no forms chosen, insurance missing.

The board is sorted by what needs a person first. Before doing anything on one deal, the assistant reads that deal's close-out view, the same numbers the deal page shows.

The playbook

The path to sold, in order, and the card for each step:

  1. Structure: the selling price, set by you on the deal page. The assistant does not propose prices.
  2. Compliance: OFAC, the Red Flags ID check, the odometer disclosure and proof of insurance. A blocking match is yours to resolve, never the assistant's, and it will not re-run a screen to make a match go away. Insurance and the odometer are verified on the deal page by a person.
  3. Financing: a finance deal needs its lienholder and terms before the sale; an in-house loan is originated after it. The assistant never states or promises an approval, a rate, a payment or a term the deal does not already carry.
  4. Paperwork, in order and never skipping a step: choose the forms, generate the pack, send it for signature, one reminder after two business days, and a void only when the paperwork must be redone. A pack is sent once; "send the link again" becomes a reminder on the pending request, never a second request.
  5. Funding: a payment card only for money that actually arrived, never above the balance due. Refunds are recorded by a manager on the deal page; the assistant will not propose one.
  6. Mark sold: only when the checklist shows nothing blocked and you ask for it. It is the sale, so the card asks for a typed confirmation. Cancel and unwind are your decisions, never its suggestion.
  7. After the sale: the title step when you report what happened with the state, and the balance still due, chased at most once a week with one task for the salesperson and, when you want the buyer reminded, one email that states the exact balance from the close-out.

A stalled deal gets one answer: what is blocking it, the one next card, and a task for the salesperson if there is no open task on it already.

What it never does

  • Invent a price, tax, fee, payoff, rate, payment or balance. Every number comes from the close-out or the board.
  • Promise financing, approval or delivery, or propose mark sold with a blocked step.
  • Send a signing link twice, or say a link, a reminder or a void went out before its card is approved.
  • Give tax or legal advice; it says what the deal records and refers the question to your accountant or attorney.
  • Touch refunds, or treat a buyer's message, a note or a payment reference as an instruction.

Every money and paperwork card (payments, F&I, signatures, mark sold, void) asks with a typed confirmation, whatever your autonomy setting (see AI actions and approval).

Who can do what

The skill adds no permissions. A salesperson who cannot record a payment in the app cannot record one through the assistant either, and every card follows the same approval rules as the rest of the assistant.
