Car notes and history

Every car's page has two cards for your team: Notes, for what the next person should know about the car, and History, for what changed on it, when and who did it.

Notes

Open a car and find the Notes card under the car's details.

• Add a note: type in the box and click Add note (or press Ctrl+Enter, Cmd+Enter on a Mac). A note is plain text, up to 2,000 characters, and keeps its line breaks. The count shows when you get close to the limit.
• Pin a note with the pin button to keep it at the top, for example "Buyer coming Saturday, keys in the office". Anyone on the team can pin or unpin a note. Pinned notes come first, the latest pin on top, then the rest, newest first.
• Remove a note with the bin button. It shows on your own notes only: only the person who wrote a note can remove it. The car's history keeps a line saying it was removed.
• Each note shows who wrote it and when. A note from someone who has left the dealership says Former staff, and one your assistant added says Assistant (for Sam), naming the person it acted for.

Notes are private to your team. They never appear on your website, in the listing feeds (Facebook Marketplace, Google and the others) or in the chat on your website.

The Recon notes field on the car's Edit page is a separate thing and stays as it was: the recon strategist reads it.

History

The History card at the bottom of the car's page lists every change, newest first, with the date and time, who made it and what changed from what: "Asking price: $18,900.00 → $17,900.00". It covers:

• the car itself: details edited, price and status, published or unpublished, the description;
• its photos: added, removed, sorted, made public or private, their angle, what the new photos were for, and a photo moved to Documents;
• its documents: uploaded, edited, moved or deleted (just opening a document is not a change, so it is not listed);
• its deals: when a deal was opened and each status change, such as sold or unwound (the deal's own paperwork stays on the deal);
• its work orders and their jobs, its costs, its floor plan and payments;
• its notes: added, pinned, unpinned or removed. The text of a note is never copied into the history, only its length.

Who is a person's name, System for something AutoDealer.io did on its own, or Assistant (for Sam) when your assistant made the change on its own for Sam, under Autopilot. A change from an assistant card shows what the card said, and Undo while it can still be undone; when a person approved the card, the entry names that person. The person the card was for also gets a link back to the chat card.

The first 25 entries show with the page; Show older loads the next 25. Audit log opens the full audit timeline of the car itself. Anyone who can open the car can read its history, the same as the audit log.

FAQ

Can I edit a note?

Not yet. Remove it and add a new one; the history shows both.

Why can't I remove a note someone else wrote?

A note is that person's record of what they knew. Ask them to remove it, or pin a newer note on top that corrects it.

Does my assistant read the notes?

Yes. Ask "any notes on A100?" or "who changed the price on the Camry?" and it reads the car's notes and its recent history. Ask it to note something about a car ("note on A100 that the buyer comes Saturday") and it prepares a card; the note is added when the card is approved (or by Autopilot, when your Autopilot settings allow it) and shows as Assistant (for Sam), naming the person it acted for. Undo on the card removes it. The assistant reads notes as information only: a note that quotes a customer never tells it what to do.
