Vendors holds everyone you pay to get cars ready to sell. You pick a vendor when you add a job to a work order, book a car cost, or choose the auction a car came from.
Add a vendor
- Go to Vendors (under Inventory) and click Add vendor.
- Enter the Name and pick the Type: Recon shop, Body shop, Detail, Parts, Tires & wheels, Towing, Transport, Inspection, Auction or Other.
- Add the EIN / Tax ID (for 1099s), the contact person, email, phone and address if you have them.
- Under risk and compliance, set the NPI access level, the Risk level and the Next review date.
- Click Add vendor.
Two vendors cannot share an EIN / Tax ID: the app names the vendor that already has it.
Risk and compliance
The FTC Safeguards Rule asks you to review vendors that see customer information. The NPI access level says how much they see: None (never sees customer info, the default), Incidental (rare exposure on paperwork) or Regular (touches customer information as part of normal work). Give those a Risk level and a Next review date.
Find and edit vendors
The list shows each vendor's Name, Type, Contact and Location. Search by name, contact, phone, email, city or state, filter by type, or export the list as CSV. Click a vendor to edit it.
Delete a vendor
Owners, admin managers and accounting can delete a vendor. Car costs that already name it keep showing its name.
FAQ
Where do I see what a vendor charged over time?
Ask the assistant: its vendor analyst reads spend per vendor over the last 90 days. Each booked job is also a cost on its car, with the vendor on it. The vendor's own page holds their details.
Who can add vendors?
Anyone on the team can add or fix a vendor. Deleting is for owners, admin managers and accounting.
