What a doc fee is, and how states limit it

A documentation fee pays the dealer for preparing the sale paperwork. It is a dealer charge, not a government fee.

States handle the fee in three ways. Some set a dollar cap, and several of those caps move every year with inflation, so the number in a state’s law and the number allowed today can differ. Some cap it as the lesser of a dollar amount and a share of the price.

Most of the rest set no dollar cap but regulate how the fee is shown: a sign in the showroom, a separate line on the buyer’s order, a sentence that the fee is not a government charge, or a rule that the fee be included in an advertised price or named next to it.

A few states publish nothing we could confirm either way. Those are marked Not confirmed instead of being called uncapped, because the absence of a rule on a page is not proof that no rule exists.

Why one registration fee can differ from the next car’s

Only some states charge one flat registration fee for a passenger car. Most build the amount from the vehicle.
01

By weight

The fee steps up with the car’s weight class, so a full size SUV pays more than a compact in the same state.

02

By value or age

A tax or fee is figured on the price or the original MSRP and falls as the car gets older, which is why registration on a newer car can run into the hundreds.

03

By county or town

Counties, cities and towns add their own fees, wheel taxes or permit fees on top of the state fee, so two buyers in one state can pay different amounts.

04

By fuel type

Many states now add a yearly fee for electric and plug-in hybrid cars to make up for the fuel tax they do not pay.

Four checks for every fee line on a deal

Charge the same doc fee to everyone

Several states require one doc fee for every buyer, cash or financed. Charging different buyers different amounts invites a complaint even where the law is silent.

Use your state’s words

Where a state prescribes a notice, print it word for word on the buyer’s order and post the sign it asks for. Do not call the doc fee a government or state fee.

Put it in the advertised price

The FTC expects the price in an ad to be one a buyer can actually pay. Several states say the doc fee belongs in that price or must be named beside it.

Pass government fees through at cost

Title and registration fees go to the state. Collect what the state and county charge for that car, and show them apart from the dealer’s own fees.

Put the numbers to work

Pick a state in the out-the-door calculator to see its sales tax and its doc fee cap next to the fee you plan to charge, or pencil the whole deal on the desking worksheet.

Car dealer fees FAQ

Doc fees, title fees and registration, in short.

Which states cap the dealer doc fee?

In our check on 2026-10-15, 16 of the 51 jurisdictions had a dollar cap we could confirm on an official page, from $85 to $800. 22 set no dollar cap, and 13 could not be confirmed either way. Use the filter above to list them.

Is a doc fee required by law?

No. A documentation fee is a dealer charge for preparing the paperwork. States that regulate it often require the paperwork to say it is not a government fee and is not required by law.

Is the doc fee negotiable?

It depends on the state. Some require the same fee for every buyer, which keeps it from being negotiated deal by deal; one requires a notice that the fee is negotiable. Read your state’s note and source above.

How much is a title fee?

State title fees for a used passenger car run from $4 to $214.50 in the states we confirmed. Many states add a lien recording fee, a county service fee or a separate transfer fee, listed in each state’s note.

Why does registration vary so much?

Most states figure registration from the car: its weight, its value or MSRP, its age or its fuel type, then counties and towns add their own fees. Only some states charge one flat fee for every passenger car.

How current is this data?

Every value was read from an official source on 2026-10-15. Several doc fee caps are adjusted every year, and fee schedules change by law. Each state’s card links to its source so you can check the current figure.

Each state’s own sources are linked on its card above. We read official pages only (state statutes, rules, and the motor vehicle, revenue or licensing agency) on 2026-10-15. This is general information, not legal advice; confirm a fee with your state before you rely on it.
