Get every car to the front line, on budget

AutoDealer.io is a dealer management system for independent used-car dealers, and recon is part of it on every plan. Open a work order on a car, list the jobs and who does each, send them to your vendors and book what they cost. Every booked bill lands on the car's cost, so your gross already knows what recon took.

Work orders per car

One work order, every job on the car

A car's work order sits on its page, above its costs. Set a budget and a ready-by date, add the jobs (detail, mechanical, brakes, tires and wheels, paint and body, glass and more) and say who does each: a vendor, someone on your team, or in-house. The order counts the days since it opened and warns when the estimates are heading over budget.

  • Open, In progress, Done or Cancelled, for the order and each job
  • Day count, ready-by date, and estimated against booked against budget
  • Mark a job sent to the vendor, with the date it is promised back
  • One active work order per car, so nothing gets worked twice

Vendors and costs

Book the bill, and the car knows what it cost

Keep your recon shops, body shops, detailers, tire shops and towing in one Vendors list with their contacts. When a job comes back, Book it: the amount starts at the estimate, you add the invoice number, and say whether it was paid today. A paid bill comes out of cash, an unpaid one waits as a bill to pay, and either way it becomes a cost on that car.

  • A Vendors list with type, contact and location
  • Each booked job becomes a car cost in the right category
  • Unpaid bills wait in accounts payable until you pay them
  • The AI vendor analyst reads spend per vendor over the last 90 days

What recon did to your gross

See recon in every car's gross

Recon costs are part of the car until it sells, then move to cost of goods sold. The gross on every report already takes them out, and the posted gross per VIN picks up a bill that arrived after the sale. The AI recon strategist reads the board, puts the stuck cars first, and prepares the next step as a card for you to approve.

  • Recon capitalized into the car, then into cost of goods sold at the sale
  • Posted gross per VIN counts a late recon bill correctly
  • Flags a car not on the front line 14 days after purchase, or past its ready-by date
  • The recon strategist proposes jobs, bookings and fix-or-wholesale numbers, never acting alone

In plain words

What recon tracking does, and what it leaves to you

What it does

  • A work order per car with jobs, who does each, budget and ready-by date
  • Marks jobs sent and promised back, and counts the days the order is open
  • Books vendor bills as car costs, paid now or later
  • Puts recon in each car's cost, its gross and your books
  • An AI recon strategist that ranks stuck cars and proposes the next step
  • Works on every plan

What it does not do

  • A separate app or logins for technicians. Staff use the same app, and a job can name anyone who does it.
  • Message your vendors. You send the work; the app records that it went out.
  • Post in-house labor as a car cost. Vendor jobs and parts are booked.
  • An average time-to-frontline report. Each order shows its own day count.
  • Change the car's status. You move a car to Available yourself.
FAQ

Reconditioning questions

Work orders, vendors, costs and the AI, in plain words.

Is this a standalone recon app?

No. Recon is part of the dealer management system: the work order sits on the car's page beside its photos, costs and deal. There is no separate technician app. Staff with the Owner, Admin manager or Sales role run work orders, and a job can name a vendor, a teammate or anyone by name.

How do recon costs reach my books?

Book a finished job and it becomes a cost on that car, in the category that matches the job. The cost is part of the car's value until it sells, then moves to cost of goods sold, and it posts to your books and to QuickBooks Online if you connected it. Unpaid bills wait in accounts payable.

Can I track time to front line?

Each work order shows how many days it has been open and its ready-by date, and warns when the estimates head over budget. The recon strategist flags cars not on the front line 14 days after purchase, orders open 14 days or more, and orders past their ready-by date. There is no average time-to-frontline report today.

What does the AI recon strategist do?

It reads your recon board or one car and puts the stuck cars first. It proposes cards to add or move a job, close an order, book a bill, call a vendor as a task, or weigh fixing a car against wholesaling it. Booking a bill always waits for your approval, and it never contacts vendors or makes up a cost.

Do in-house jobs count as a cost?

No. In-house labor is tracked on the work order but not posted as a car cost, so your gross is not padded with estimates. Jobs sent to a vendor, and parts you buy, are booked as costs.

Which plan includes it?

Every plan includes work orders, vendors and the AI recon strategist. The AI uses the plan's monthly AI allowance.

Can shoppers see my recon costs?

No. Recon costs never appear on your website or in the listing feeds. Photos you tag Recon stay private too.
