The deal does the bookkeeping

Mark a car sold, take a payment, add a recon bill or draw on the floor plan, and a balanced double-entry entry posts within minutes. The Transactions list holds all of it, newest first, and each row says where it came from: recorded automatically, added by you, or from your bank.

Your bank, beside your books

Review what came in and went out

On Pro and Max, the owner connects the bank through Plaid, read only. Its transactions land in the same list to review: pick a category, split one across several, merge a deposit with the payment already in your books, or exclude a personal charge. The AI suggests the category and asks when it is not sure, and nothing is recorded until a person presses.

Statements and the chart of accounts

Both statements read straight from the posted entries, for any dates you pick, and print or export to CSV. The chart of accounts starts with the accounts a used-car and BHPH store needs; rename them, add your own, and enter opening balances once through a guided entry so the balance sheet is complete.

Working with QuickBooks

Keep your books in QuickBooks Online, if you like

If your bookkeeper works in QuickBooks Online, the owner connects it once under Settings, Accounting, on any plan. Your account names are matched or created there, and from then on every entry posts to QuickBooks Online automatically, within minutes. The bank work stays in QuickBooks, so the Books bank area steps aside.

  • Entries are only ever added: a void or an unwind posts its own reversing entry
  • Each entry carries an AD- reference, so your bookkeeper can tell them apart
  • Posting starts on the day you connect; earlier months go over as a journal entry file
  • QuickBooks Online only, not QuickBooks Desktop

  • QuickBooks Desktop. Only QuickBooks Online connects.
  • Record anything from a bank line or an AI suggestion until a person presses.
FAQ

Dealer accounting questions

What the books do on their own, what needs a person, and which plan includes what.

Does this replace QuickBooks?

It can, or it can feed it. The owner picks where the books of record live under Settings, Accounting. Keep them in AutoDealer and you get the Transactions list, your bank, the statements and the chart of accounts here. Keep them in QuickBooks Online and every entry posts there automatically once the owner connects it, on any plan. Either way the statements are management basis, so your accountant still reviews them and handles your taxes.

Can I connect my bank?

Yes, on Pro and Max. The owner connects it through Plaid, read only, from Bank connections at the top of Transactions. Its transactions arrive in the same list to review. If your books of record are in QuickBooks, the bank feed lives there instead, so the bank area here is hidden once QuickBooks is connected.

Does the AI post entries by itself?

No. On a bank line it suggests a category, such as AI: Fuel · Record, and asks when it is not sure. It is never sure about deposits, auction purchases, floor plan or loan payments, or money moving between your own accounts. On Pro and Max the assistant can also answer questions from your books and prepare an expense or a journal entry as a card. Nothing is recorded until a person presses, and the AI work counts toward your monthly AI allowance.

Can my accountant use it?

Yes. Give them the Accounting role: they can open Books, review and categorize bank lines, and download the Deals, Payments and Gross CSVs and the QuickBooks file. Every row has an accountant view with its debits and credits, and the statements print. Salespeople cannot open Books.

Which plan do I need?

Every plan posts the entries, shows the Transactions list and the statements, and can connect QuickBooks Online. Pro and Max add bank connections, recording your own expenses and journal entries, and the AI accountant. On Basic nothing records rent, payroll or utilities, so the Profit & Loss overstates profit, and the page says so.

Can I fix a wrong entry?

Fix what it came from. Change the deal, the payment or the car and the books post a dated correcting entry, so a month your bookkeeper already closed never changes underneath them. What you added yourself can be deleted, and it stops counting in its own month.

How do I start with balances I already have?

The Balance Sheet links to a guided opening-balances entry that fills in the usual shape: bank balance, cars at cost, notes outstanding, loans, and the equity that makes it balance. Date it the day before your first activity here. If QuickBooks already holds those balances, leave them there so nothing counts twice.

Is this GAAP accounting?

No. It is management basis: a sale is recognized when it happens, collections as cash, and BHPH interest as it is collected. The statements are not audited GAAP statements and the schedules are not a trial balance. They tell you how the store is doing; your accountant signs off on the books you file.
